Your project hub explained

The ClickUp document that holds everything specific to your site — accounts, brand details, what's running under the hood — and how it relates to this help center.

Alongside your tasks in ClickUp, you have a document we keep for your site. It holds the things that are true of your project and nowhere else: your logins, your brand colors, what your site is built on, who to call.

It's short on purpose, and it's the first place to look when you need a specific detail.

Quick summary

Your project hub is a ClickUp document, separate from your task list. It holds facts about your site — accounts, brand assets, what's installed, what's included in your support. General how-to guidance lives here in the help center instead, and the hub links to it rather than repeating it.

Hub or task list?

These are two different things in the same place, and it's worth knowing which you want:

What's in the hub

The exact sections vary by project, but most hubs contain:

  • Project at a glance — key dates, who's who on both sides, current status
  • Your website at a glance — your domain, where it's hosted, what platform it runs on
  • Accessing your accounts — every service connected to your site and how you get into it
  • What powers your site — the plugins, apps, and integrations doing the work, and what each one is for
  • Keeping it on-brand — your fonts, colors, logo files, and image sizes
  • Your support and what's included — what your current arrangement covers
  • Changelog — what changed on your site and when
  • Call notes and recordings — so decisions from a call in March are findable in November

Why general guidance isn't in it

The hub holds what's true of you. Everything true of everyone lives here in the help center, and the hub links to it.

That's not tidiness for its own sake. When the same fact is written in two places, one of them gets updated and the other quietly becomes wrong — and there is no way to tell which one you're reading. Keeping "how to compress an image" in one place, and "your hero images are 1600px wide" in the other, means a change only ever has to happen once.

So your hub tells you your image dimensions and links to compressing images for the method. It tells you your hosting provider and links to how backups work for what that means.

Finding it

Your hub is in ClickUp, in the same place as your tasks — usually pinned or linked from the top of your project. If you can't find it, ask your project lead for the link and then bookmark it.

If something in it is wrong

Tell us. This is genuinely useful to us and takes you ten seconds.

A hub is only worth having if it's accurate, and the things most likely to drift — a date that's passed, a tool you stopped using, a person who's left — are exactly the things you'd notice and we wouldn't. If you spot one, leave a comment on the page or email us.

Especially worth flagging

An expired date, a credential marked "to confirm" that never got confirmed, a service listed that you no longer use, or an instruction that contradicts something we told you on a call. Any of these means the hub needs a pass.

Common questions

Can I edit it myself?

Not directly. You can read it but not edit it, and that's deliberate. The hub lists login URLs for your accounts, so we keep the number of people who can change it small and invite each of you by name rather than putting it behind a shareable link.

Leave a comment instead (highlight the text and click Comment), or email us. Either reaches us and both get actioned; for anything technical a comment is better anyway, because we usually need to change something on the site to match. If ClickUp won't let you comment, you're most likely on view-only access, so email us instead.

Who else can see it?

Your team and ours. It's shared to the people on your project, not published publicly. It does contain login URLs and account details, so treat the link the way you'd treat any other credential and don't forward it outside your team.

Are my passwords in it?

No, and they shouldn't be. The hub records which accounts exist and how access is arranged. Actual passwords belong in a password manager, which is built for it. See using a password manager.

What if I'm not on a care plan anymore?

The hub stays yours and stays where it is. It becomes more important, not less, because you're now the person who needs to know what the site runs on. See what keeping a website running actually takes.

Is this the same as the old client portal?

No. We used to keep a larger portal document that mixed project-specific details with general guidance. The general half moved here to the help center, and what's left is the hub — shorter, and about your site only.
