Mentioning people to get their attention

How to use @mentions in ClickUp to notify a specific person, get a faster response, and communicate clearly without sending extra emails.

When you leave a comment in ClickUp, the whole team can see it — but that doesn't mean the right person will notice it right away. Mentioning someone by name sends them a direct notification so they know you need them specifically.

Quick summary

Type @ followed by someone's name in any comment to notify them directly. They'll receive a notification in ClickUp and (usually) by email. Use @mentions when you have a question, need approval, or want to flag something to a specific person. Avoid using @all unless everyone genuinely needs to see it.

What is a mention?

A mention (also called an @mention) is a way to tag someone in a comment. When you write @Sarah, ClickUp sends Sarah a notification that she's been mentioned in that task. She can click the notification to go straight to your comment.

Think of it like texting someone's name in a group chat so they know the message is for them.

How to mention someone

Open the task and scroll to the comments section at the bottom. Click in the comment text box to start typing.

Type the @ symbol. A dropdown list of workspace members will appear immediately.

Start typing the person's name. The list filters as you type. For example, typing @Pe might show "Peter" and "Penelope."

Click the correct name from the dropdown — or use the arrow keys and press Enter to select.

Finish writing your comment, then click Send. The person will receive a notification right away.

You can mention more than one person

You can add as many @mentions as you need in a single comment. Just type @ again wherever you want to tag another person.

When to use a mention

Use an @mention when:

  • You need a specific person to answer a question
  • You're approving, rejecting, or requesting changes on work they've done
  • You're sharing a file or screenshot that someone needs to act on
  • You're following up on something after a few days of no response

You don't need to mention someone if your comment is just general information that everyone will see in their regular notifications.

Mentioning everyone at once

ClickUp lets you mention all members of a task at once using @all or sometimes @everyone. This sends a notification to every person who has access to that task.

Use this sparingly. Only use @all when:

  • The message genuinely applies to every person on the task
  • You need a response from multiple people before work can continue
  • There's an urgent change that affects the whole team

Overusing @all teaches people to ignore notifications. A targeted @name is almost always more effective.

Notification etiquette

Good mention habits

  • Tag the person whose name you'd say first if you were speaking out loud
  • Include enough context in your comment so the person doesn't have to read the whole thread
  • Mention someone when you need a response — not just as a courtesy update
  • Respond to @mentions within one business day when possible

Habits to avoid

  • Using @all for every comment — it causes notification fatigue
  • Mentioning multiple people when only one person needs to act
  • Sending a follow-up email after you've already @mentioned someone — give it one business day first
  • Writing a vague comment like "@Sarah — thoughts?" without explaining what you need

What happens after you mention someone

When you @mention someone:

  1. They receive a notification in ClickUp — a red badge on the notification bell icon at the top of the screen.
  2. They usually also receive an email notification — depending on their personal notification settings.
  3. They can click the notification to jump directly to your comment on the task.

If someone has turned off email notifications, they'll still see the mention in ClickUp. If you haven't heard back after one business day, it's fine to follow up — either with another comment or by emailing support@chykalophia.com.

Mentioning Chykalophia team members

You'll typically mention members of the Chykalophia team when you have feedback or a question. Common people to mention:

  • Your project lead — for questions about scope, timeline, or decisions
  • The designer or developer assigned to the task — for feedback on their specific work
  • The whole team (@all) — only for urgent or universal messages

Not sure who to tag? Mention your project lead and they'll route your question to the right person.
