How to approve work in ClickUp
Learn how to formally approve completed work in ClickUp so your project moves forward without delays.
When we finish a piece of work — a new page design, a feature, a piece of copy — we'll ask for your sign-off inside ClickUp. Approving work there keeps everything documented and moves the project to the next stage automatically.
Quick summary
When we ask you to review work, open the task in ClickUp, check the deliverable linked in the task description or comments, and leave your approval as a comment or by clicking the approval button. If you're happy with it, change the task status to Approved. If you'd like changes, see How to request changes instead.
What you'll need
Beginner 5 minutes- A ClickUp account (you'll have received an invite from us — see Getting your ClickUp invite)
- Access to the relevant task (we'll usually send you a direct link)
How the approval process works
We use task statuses to track where work stands. When something is ready for your review, we move the task to a "Needs Approval" or "Awaiting Client Review" status and leave a comment tagging you.
You'll receive a notification by email and inside ClickUp. The task will contain:
- A clear description of what has been done
- A link to the deliverable (a live page, a staged design, a document, etc.)
- Any specific questions we'd like your feedback on
Reviewing and approving a task
Open the task. Click the link in the notification email or find the task in your client portal. See Navigating ClickUp as a client if you need help finding it.
Review the deliverable. Read the task description and any comments. Click any link we've shared to view the actual work — this might be a live staging URL, a Figma file, or a document.
Leave an approval comment. Scroll down to the comment box. Type something like "Approved — looks great!" and click Send. This creates a timestamped record of your sign-off.
Update the task status. Click the status badge at the top of the task (it will show something like Needs Approval). Choose Approved from the dropdown. This signals to the team that work can move forward.
Not sure how to update the status?
If you don't see a way to change the status, just leave an approval comment. We monitor comments closely and will update the status on your behalf. You won't hold things up.
What happens after you approve
Once a task is marked Approved:
- Your project manager is notified automatically.
- The task moves into the completed stage.
- We proceed to the next phase of your project.
You'll receive a summary email when a milestone is complete — for example, when all pages in a design phase are approved.
Approving multiple tasks at once
If you have several tasks to review, you can do them one at a time at your own pace. We'll usually group related tasks together in the same list so they're easy to find.

What if you're not ready to approve?
That's fine — it's your project and getting it right matters. If you need more time, just leave a comment saying so. If you want changes, follow the steps in How to request changes.
