How to request new work or changes

The right way to submit a request for new work or a change to your website so we can act on it quickly and accurately.

Need something changed on your site? Want to request a new feature, a new page, or a content update? This guide explains the best way to submit a request so we can act on it quickly.

Quick summary

Submit all requests in ClickUp or by emailing support@chykalophia.com. Be specific about what you want, where it should go, and what the result should look like. The more detail you include upfront, the faster we can turn it around.

Where to submit a request

ClickUp (preferred). If you have access to our shared ClickUp workspace, create a new task or leave a comment on an existing one. This keeps everything organized and makes sure nothing gets lost.

Email. If you don't have ClickUp access, email support@chykalophia.com with your request. Use a clear subject line like "Content change request – [your website]" or "New feature request – [brief description]".

Avoid sending requests by text or social media

Requests sent by personal text message, WhatsApp, Instagram, or LinkedIn DM are easy to miss and impossible to track. Always use ClickUp or email so your request is formally logged.

What to include in your request

A well-formed request gets done faster and more accurately. Include:

Types of requests

Content updates

Text edits, image swaps, updating contact information, adding a new team member, changing hours. These are usually quick to do and don't require a quote.

New pages or sections

Adding a new page (e.g. a new service, a landing page, an FAQ section). May require a brief scope discussion before we begin.

New features or integrations

Adding a booking system, a new form, a payment option, or a third-party integration. These usually require a quote and agreement before we start work.

Design changes

Changing colors, layouts, fonts, or the visual look of existing pages. Discuss with your project lead first — some changes are quick, others have larger implications.

After you submit

Once you've sent your request:

  • We'll acknowledge it within our standard response window (see Our response times)
  • If we need more information, we'll ask specific questions
  • If the request is within scope, we'll add it to your project and give you an estimated turnaround
  • If the request requires additional budget or falls outside your current agreement, we'll send you a quote before proceeding

Common questions

Can I send multiple requests in one message?

Yes, but give each item its own clear point or numbered list. A wall of text with ten changes buried in it is hard to process. A numbered list with one item per line is much easier to work through systematically.

How quickly will my change be made?

Simple content updates are typically done within one to two business days. More complex requests depend on scope. We'll always give you an estimated timeline once we understand what's involved.

Will I be charged for every change?

It depends on your agreement. Clients on a care plan typically have a set number of content update hours included. Larger changes — new pages, new features, redesign work — are usually quoted separately. If you're unsure, ask and we'll clarify before starting.

What if my request is urgent?

Prefix your request with "URGENT" and explain why it's time-sensitive. See Our response times & support hours for guidance on what qualifies as urgent.
