What we need from you
A clear overview of what Chykalophia needs from you as a client — materials, timely responses, access, and decisions — to keep your project on track.
A great project is a partnership. We bring the design, development, and strategy expertise — and you bring the business knowledge, the content, and timely decisions that only you can make. Here's what we need from you.
Quick summary
We need you to provide content and materials on time, respond promptly to questions and review requests, make decisions when asked, and grant account access when needed. Delays in any of these areas delay your project.
1. Content and materials
Your website needs real content — and that content comes from you. We need:
- Your logo in a vector or high-resolution format (
.svg,.ai,.eps, or.pngat 2x size) - Brand guidelines if you have them (colors, fonts, usage rules)
- Page copy — the text for each page of your site (we can help with this if copywriting is in scope)
- Images and photos — product photos, team photos, or location images
- Any existing assets you want to keep — certifications, trust badges, partner logos
When we need it: Ideally before or during the design phase, and definitely before development ends. Content provided late causes launch delays.
Placeholder copy is not final copy
If we build your site with placeholder text and you provide the real copy at the end, changes to layout, spacing, or structure may be needed. Get us real content early.
2. Timely responses
We'll ask you questions, send designs for review, and request approvals throughout your project. How quickly you respond directly affects your timeline.
What "timely" looks like:
- Review requests — respond within 2–3 business days of receiving a review link
- Questions — respond within 1–2 business days when possible
- Approval requests — respond within 1 business day
If you'll be unavailable for an extended period (holiday, travel, busy season), let us know in advance so we can plan around it.
3. Decisions
Only you can make certain decisions about your business and your brand. We'll need you to decide on things like:
- What pages your site will have
- What your key messages and calls to action are
- Whether to proceed with a design direction or request changes
- Which features or integrations to include
- Go/no-go for launch
We'll give you context and recommendations — but we need a decision, not "whatever you think is best" on questions that affect your business strategy.
4. Account access
We'll need access to various tools and platforms during your project — your hosting account, domain registrar, Google Analytics, and others. We use delegate access wherever possible, which means you don't need to share your passwords.
See the Giving Chykalophia access section for step-by-step guides for every platform.
5. Feedback (the right kind)
Good feedback helps us get things right faster. Vague or delayed feedback slows the project and leads to revision rounds that don't move things forward.
See How to give feedback that gets results for a full guide.
What happens when things are delayed
We understand that businesses are busy — things come up. But delays in client deliverables cascade:
- Content delays → launch delays
- Delayed approvals → delayed development start
- Delayed access → inability to connect integrations
If something on your end is delayed, let us know as soon as possible. We'll adjust the schedule where we can. What we can't do is hold a project timeline open indefinitely.
