What is Google Workspace?

A plain-English explanation of Google Workspace — what it is, what it includes, and why businesses use it instead of free Gmail.

Google Workspace (formerly known as G Suite) is Google's bundle of business tools. It gives your whole team professional email addresses at your own domain — like sarah@yourcompany.com — along with cloud storage, documents, video calls, and more.

Quick summary

Google Workspace bundles Gmail, Drive, Docs, Sheets, Slides, Calendar, Meet, and admin controls under your own domain name. It's a paid subscription billed per user per month. You manage everything — users, settings, security — from the Admin console at admin.google.com.

What's included in Google Workspace?

Every Google Workspace plan includes the following tools. You and your team access them by signing in with your work email address.

How is it different from a free Google account?

Free Google accounts (like @gmail.com) are for personal use. Google Workspace is for businesses. The key differences:

  • Your domain. Email comes from your company name, not @gmail.com.
  • More storage. Business plans include much more storage per user.
  • Admin control. One person manages the whole organization — adding users, resetting passwords, setting security rules.
  • Business-grade support. You get access to Google's business support team.
  • Data stays with your business. If an employee leaves, you keep their files and email.

Don't mix personal and work Google accounts

It's easy to accidentally sign in to the wrong account. Your Workspace account (work) and any personal Gmail are separate. Files and emails don't cross between them unless you deliberately share.

Who manages Google Workspace?

Every Workspace organization has at least one admin — a person (or a few people) who has access to the Admin console. The admin can:

  • Add and remove users
  • Reset passwords
  • Adjust security settings
  • Manage billing
  • View storage usage

Is Google Workspace right for my business?

Google Workspace is a great fit if you:

  • Want easy collaboration — everyone edits the same document at the same time
  • Work mainly in a browser or on mobile
  • Want simple setup with minimal IT overhead
  • Are already used to Gmail or Google products
